Draft pending legal review. This is a genuine first draft describing what Turnkeep actually collects and does today, but it has not yet been reviewed by a lawyer and may change before launch. Items in [square brackets] still need to be confirmed by the business.

1. What we collect

Account information. When you sign up we store your name and email address, your role (host or cleaner), and a record of which version of our Terms of Service and Privacy Policy you accepted and when.

Property information. Hosts add properties to Turnkeep, including the property's name and address, the areas within it, reference photos showing the expected standard, checklist tasks, periodic task rules, and access notes — which may include practical details such as lockbox locations or alarm codes needed to enter the property.

Invitation information. When a host invites a cleaner, we store the cleaner's name and email address so the invitation can be delivered and accepted, and we record the working connection between the host and the cleaner.

We do not collect payment card details, and we do not track you for advertising.

2. Why we collect it and how it is used

Everything we collect is used to operate the turnover coordination platform — nothing more:

• Your account information lets you sign in and lets us show you the right workspace for your role.

• Property details, photos and checklists let hosts document their turnover standards, and let the cleaners they invite see exactly what is expected at each property.

• Access notes exist so a cleaner assigned to a property can get in and do the job; they are shown only in that context.

• Invitation emails are used to deliver invitations and to connect a cleaner to the host who invited them.

• Policy acceptance records let us demonstrate which terms each account agreed to, and let us ask you to re-consent when the terms change.

3. AI photo comparison

When a cleaner uploads a completion photo, we compare it against the property's reference photo using an AI image comparison feature. This comparison is processed through Lovable's AI infrastructure, which uses Google's Gemini model to perform the comparison. Both photos are sent for this single comparison and are not made publicly accessible.

Lovable does not use your photos to train its own models; we have opted out of Lovable's platform-level model training setting. We have not yet independently confirmed the specific data retention period or training practices that apply to Google's Gemini model within Lovable's AI gateway, and are working to confirm this directly with Lovable. This section will be updated once that is confirmed.

Only the property's host can see the results of this comparison; the cleaner who uploaded the photo cannot. This feature is advisory only — it never blocks or delays a turnover being marked complete.

These describe Google's general terms and are not a confirmation of the specific contract tier Lovable's gateway operates under.

4. Who can see what

A host can see only their own account, their own properties and everything attached to them, and the cleaners they have invited. A host cannot see other hosts' data.

A cleaner can see only the properties, photos, checklists and access details for the jobs they have been invited to and accepted — and nothing else. A cleaner cannot see other hosts' properties, other cleaners, or any account information beyond what is needed to do their assigned work.

We never sell your information, and we never share it with third parties for their own purposes. Information leaves Turnkeep only where it is necessary to operate the service itself (for example, delivering an invitation email) or where the law requires it.

5. Retention and deletion

We keep your information for as long as your account is active so the service can work — for example, a property's photos and checklists remain available to the cleaners connected to it.

You can request deletion of your account and your data at any time by emailing help@turnkeep.com. When a host account is deleted, that host's properties are deleted too, including their reference photos, checklists, task rules and access notes. When a cleaner account is deleted, the cleaner's access to every property they were connected to ends and their connections are removed.

Some minimal records may be kept for a limited period after deletion where we need them for legal, accounting, or fraud-prevention purposes, after which they are removed.

6. How we protect your information

We treat access notes such as lockbox and alarm details as sensitive, and the service is built around limiting who can see them. In plain terms:

• Each user can only see the information relevant to their role — a host sees their own properties, a cleaner sees only the properties they are assigned to.

• Sign-in is required to reach any property or personal information; none of it is publicly visible.

• Access to the service is protected in transit, and accounts are protected by the credentials you choose.

• Only people who need access to operate and support the service can access its systems.

No online service can promise absolute security, but we design Turnkeep so that a mistake or misuse by one user exposes as little as possible.

7. Your rights

You can ask us at any time for a copy of the personal information we hold about you, to correct information that is wrong, to delete your account and data, or to object to how it is used. Email help@turnkeep.com and we will respond within a reasonable time.

Depending on where you live, you may also have the right to complain to a data protection authority.

8. Changes to this policy

If we change this policy we will update the version tag at the top of this page. For material changes, existing accounts will be asked to review and accept the new version before continuing to use Turnkeep, and each acceptance is recorded with a timestamp.
